Everyday challenges of the recruitment team

The recruitment team was handling a growing number of client enquiries, each requiring analysis of requirements, searching candidate databases, assessing suitability and preparing a shortlist. A single enquiry consumed 3 to 4 hours of work — mainly on repetitive, administrative tasks.
Enquiries arrived in different formats — email, files, messages. The data had to be manually transformed into structured recruitment checklists. Databases were searched manually, often duplicating the same process for similar enquiries. Filtering out profiles that did not meet basic requirements took a disproportionate amount of time.
Creating a candidate shortlist and preparing personalised messages took more time than the conversation with the candidate itself. Over the course of a week, this meant dozens of working hours spent on routine tasks that did not directly translate into business value — and drastically limited the scalability of the recruitment process.
Automated candidate selection process – from enquiry to contact

We created a tool that takes over all repetitive tasks related to candidate selection. The system automatically identifies new enquiries from email, extracts key requirements (role, technologies, languages, location, experience) and transforms them into a structured format ready for processing.
AI algorithms search internal and external databases, assessing candidate suitability in terms of both hard requirements (skills, experience) and soft factors (availability, industry, type of projects). On this basis, the system generates a ranked shortlist with an explanation of each candidate’s match.
The system also prepares message suggestions for contacting candidates and integrates with the existing ATS/CRM. The recruiter can immediately move on to a valuable conversation — without tedious copying, editing and administrative screening. The entire cycle from enquiry to a ready shortlist was reduced from hours to tens of minutes.
