Manual handling of event participant registration

Organising events involving hundreds of participants requires an efficient registration process. Each participant must provide personal details, choose transport and accommodation options, and often register accompanying persons as well. With the traditional approach, the organising team entered data manually into spreadsheets and the CRM system, which for 300-800 participants per event consumed several days of work.
Accommodation allocation was a particular challenge. Hotel rooms vary in capacity and standard, and participants have different preferences — single rooms, double rooms, with accompanying persons. Manual allocation led to errors: double bookings, overlooked preferences, and the need for repeated corrections. Additionally, the lack of real-time availability validation meant that participants signed up for places that were already taken.
Document generation — participation agreements, invoices, confirmations — was done manually in a word processor. Each document required individual completion with participant data, which with hundreds of people was not only time-consuming but also prone to errors. Payment status tracking also relied on spreadsheets — without automatic notifications and with the risk of overdue payments being missed.
Automated registration system with intelligent resource allocation

The implemented solution replaces the entire manual registration process with a multi-step online form integrated with the CRM system. The participant independently fills in personal details, selects transport and accommodation options, registers accompanying persons — and the system validates place availability in real time and automatically creates a complete record in the CRM. The entire process from form completion to contract generation takes under 3 minutes.
An intelligent business rules engine automatically allocates accommodation based on the number of people, preferences, and availability. The system supports single, double, and family rooms, takes accompanying persons into account, and automatically recalculates costs. When no places are available, the participant is placed on a waiting list with an automatic notification when a place becomes free. Participant verification takes place automatically based on defined criteria — without manual review.
The system automatically generates participation agreements, invoices, and registration confirmations in PDF format, personalised with each participant’s data. Payment statuses are updated in real time thanks to integration with the payment system, and the organising team receives notifications about overdue payments. Accompanying persons are invoiced separately with an automatic link to the main participant. Altogether, this eliminates manual administrative work and allows the team to focus on event logistics.
