The sales team received dozens of quotation enquiries by email every day — from different partners, in different formats, with attachments such as PDFs, spreadsheets and photos. Each enquiry required manual opening, reading, extraction of key data (product, quantity, specification) and re-entry into the CRM system.

The process was time-consuming and prone to errors. With a high volume of messages, omissions, response delays and mistakes in transcribed data occurred. During peak periods (seasons, campaigns), the team could not keep up with demand, which led to lost orders and dissatisfied business partners.

The lack of automation also meant that two full-time employees were occupied exclusively with retyping data from emails — instead of focusing on closing deals and building customer relationships.

The implemented solution fully automates the process of reading, analysing and registering quotation enquiries in CRM. The system monitors the email inbox in real time, identifies new enquiries and launches the processing pipeline without human involvement.

AI analyses message content and attachments (PDFs, images, spreadsheets), extracts key data — product name, quantity, technical specification, contact details — and creates a complete order in the CRM system. The OCR module handles non-standard documents, while the language model understands the context of the enquiry even when the correspondence uses informal language.

The entire cycle from receiving an email to creating an order in CRM takes less than 60 seconds. The system eliminates manual data entry errors, ensures an immediate response to enquiries and frees up the sales team for higher-value work — negotiations and closing deals.
