Lack of financial transparency and reactive management of employee budgets

In an organisation where employees generate revenue from their own assignments but also incur organisational costs (contributions, payroll, insurance), financial transparency is essential. Employees had no access to the current status of their budget — they knew how much they invoiced, but not how much remained after costs were deducted. They only received balance information at the end of the month, in the form of a statement manually prepared by the finance department.
Negative balances were detected with a delay. An employee could generate costs (payroll, expenses) for several months without realising that their income did not cover them. By the time the finance department eventually noticed, the debt was already substantial — making the repayment discussion difficult and overdue. The lack of preventive alerts meant the problem kept growing unnoticed. Team budgets — where several employees shared revenue from one project — were even harder to track.
For potential new members of the organisation, there was no tool to estimate a future budget. Before joining, a candidate could not check how much would remain from their planned assignments after deducting all organisational costs. The decision to join was based on general information from the recruiter rather than hard data. This led both to disappointment (when costs turned out to be higher than expected) and to losing candidates who could not assess whether it would be financially worthwhile.

The budget dashboard automatically aggregates all components of an employee’s finances in real-time: income from paid invoices, payroll costs (calculated from employment data), organisational contributions, direct and travel expenses, and budget transfers. The employee logs in and sees the current balance — without waiting until the end of the month and without asking the finance department. The budget updates automatically after every paid invoice, every posted expense and every payroll calculation.
The alert system proactively warns both the employee and the finance operator when the budget approaches zero or exceeds a warning threshold. Alerts are configurable — the organisation sets the thresholds and notification channels. Team budgets make it possible to track projects delivered jointly by several employees, with a transparent breakdown of income and costs. The operator panel provides an overview of all employee budgets, clearly marking those that require attention.
The financial simulator allows candidates and new employees to forecast their budget before making a decision. In simplified mode, it is enough to enter planned monthly revenue — the system automatically calculates all costs and shows an estimated net amount. Detailed mode makes it possible to plan specific assignments, account for seasonality and include different types of expenses. The simulator applies country-specific rules — for example, 13th and 14th salaries in systems where these apply — providing a realistic picture instead of general promises.
